Guidelines and Instructions for Invigilators for the Conduct of Examinations
A. GENERAL ROLE AND RESPONSIBILITIES
  1. In general, Examinations invigilators are responsible for maintaining discipline and good order during and Test/Continuous Assessments.
  2. Normally, at least two invigilators shall be appointed for each examination hall.
  3. Only teaching staff shall be drafted as invigilators. Subject teachers shall not be posted as invigilators in examination halls where students are writing the examination in that subject.
  4. Invigilators shall disclose to the Centre Superintendent, well in advance, any conflict of interest (e.g. immediate family member/close relative is a candidate for the examination). This is essential to maintain transparency in the examination system and to avoid unnecessary complications, allegations and litigation
B. REPORTING AND TIMINGS
  1. Generally, scheduled Forenoon (F N) session examinations commence at 10:00 am and Afternoon (AN) session examinations commence at 2:30 pm.
  2. Invigilators shall report to the examination control room at least 30 minutes before the commencement of the examination:
    • FN Session - 9:30 am
    • AN Session- 2:00 pm
  3. Invigilators must be present inside the examination hall by:
    • 9:45 am for FN session
    • 2:15 pm for AN session
  4. Adjustment or interchanging of invigilation duties among invigilators is not permitted. In unavoidable circumstances, the matter shall be brought to the notice of the Centre Superintendent one day in advance, with suitable alternative arrangements,
C. DUTIES PRIOR TO COMMENCEMENT OF EXAMINATION
  1. The invigilator shall collect the question papers and answer books 15 minutes prior to the commencement of the examination.
  2. On entering the examination hall, invigilators shall ensure that:
    • Desks and seating arrangements are in orde
    • Fans and lights are switched on and windows opene
    • Adequate supply of answer books, supplementary sheets, string, attendance slips, and question papers is available. Any discrepancy shall be immediately reported to the Centre Superintendent.
  3. Candidates may be admitted into the examination hall not more than 30 minute after he scheduled start time with no extra time for examination.
  4. Invigilators shall insist that candidates do not stand in corridors for last-minute revision and enter the hall immediately. Bags, wallets, books, laptops, and other personal belongings shall be deposited in the designated area.
  5. Invigilators must ensure that candidates have not brought any notes, books, or unauthorized material, except those explicitly permitted in the rubric of the question paper.
  6. Carrying mobile phones, reading material, or engaging in chit-chat by invigilators is strictly prohibited. Invigilators are expected to be vigilant and take frequent rounds in the examination hall.
  7. No candidate shall be allowed to enter the examination hall without valid Ha!l Ticket.
D. COMMENCEMENT OF EXAMINATION
  1. Invigilators shall verify the Hall Ticket having latest photograph of each candidate. In case of doubt, the identity of the candidate may be re-verified with valid identity card like Aadhaar Card, identity card issued by the institute or any Govt. approved identification card
  2. The invigilator shall ensure that every candidate occupies the proper seat and writes his/her correct Registration Number and other required particulars on the first sheet of the answer booklet.
  3. Invigilators shall ensure that the attendance and other formalities are complete in the first half an hour of starting, of the examination. Please do not pass the signature sheets among the students. The invigilator has to go to each student and verify the details entered.
  4. Candidates shall be instructed to place their Hall Ticket on the top right corner of the desk.
  5. Once candidates are seated, question papers shatt be distributed. The Invigilaitor shall announce the duration of the examinationand formally give permission to commence writing. Candidates shall be instructed to carefully read the instructions on the answer booklet.
E. DUTIES DURING THE EXAMINATION
  1. Invigilators shall remain present in the examination hall examination and throughout the duration of the shall remain vigilant by continuously moving around the hall.
  2. Use of electronic devices by candidates is strictly prohibited. Electronic devices but are not limited to, mobile phones, tablets, laptops, device capable of smart-watches, or any storing, transmitting, or recei ving information.
  3. No caididate shall be allowed to leave the examination hall during the first 30 minutes and the last 15 minutes of the examination.
  4. A candidate may be allowed to temporarily leave the examination hall only in exceptional medical emergencies, and the candidate shall be accompanied by an invigilator
  5. Two candidates shall not be allowed to go to the toilet or for drinking water simultaneously
  6. If an invigilator Suspects that a candidate is involved in any irregular act or malpractice, the invigilator shall confiscate the prohibited material and immediately inform the Centre Superintendent. A written report shal’ be submitted along with the answer booklet, question Paper, and seized material.
F. END OF EXAMINATION
  1. Fifteen minutes before the end of the examination, the invigilator shall announce theremaining time.
  2. At the end of the examination, candidates shall be instructed to stop writing immediately
  3. Candidates shall remain seated and silent until the number of answer scripts collectedis tallied with the number of candidates present.
G. COLLECTION AND HANDOVER OF ANSWER SCRIPTS
  1. At the conclusion of the examination, answer scripts shall be collected and arranged in the ascending order of Hall Ticket numbers and handed over to the Centre Superintendent.
  2. Attendance slips and answer scripts shall be carefully tallied before candidates are permitted to leave the examination hall.
  3. All examination stationery, including unused answer booklets, shall be removed from the examination hall and returned to the examination branch/programme support office.
  4. All invigilators assigned to a hall shall report back to the examination branch after completion of the examination and shall be collectively responsible or the safe return of answer books.
